Mark the work order as waiting on partsLink to the section “Mark the work order as waiting on parts”

  1. Open the approved work order. In the Customer approved banner, select Order Parts First.
  2. The work order moves to Waiting Parts, so everyone can see the job is held up on parts.

Order the work order’s partsLink to the section “Order the work order’s parts”

  1. On the work order’s Estimate tab, select the cart at the end of the toolbar, or a part’s red Needed label. The Parts Hub opens on Needed: every part on a selected job that isn’t on an order yet and doesn’t come off your shelf.
  2. Tick the parts you’re ordering from one vendor and select Enter Phone Order.
  3. Choose the Vendor and confirm each quantity and cost. The PO# starts as the work order’s number, so the parts counter can find it.
  4. Select Save Order Details. Each phone order is a new order, Ordered straight away, and the parts move to Ordered/Received. On the estimate each part now shows, for example, 2 Ordered.

Receive the parts and get the job movingLink to the section “Receive the parts and get the job moving”

  1. When the delivery arrives, open the Parts Hub on Ordered/Received and select Mark Order Received. Enter each order’s invoice number and date and, if you like, check Notify technicians to send them an in-app notification.
  2. If only one part came, open its menu and select Mark Part Received. To receive part of a line, open the order from Orders › Purchase Orders, select the pencil and type what arrived in Received.
  3. The part on the estimate changes to All 2 Received. Received by mistake? Mark Part Ordered undoes it.
  4. Select Change Status and move the work order back to Approved. The technician then sees Start Repair.

Send a part back or keep itLink to the section “Send a part back or keep it”

  1. In the Parts Hub, open the part’s menu and select Return Part, or Return Core to send the old unit back for its core deposit. A part on a job can only go back as far as it is spare: lower the quantity on the estimate first to return more.
  2. It waits in Orders › Return Orders › Parts to Return. Check the parts going back to one vendor and select Enter Return Order.
  3. When the vendor’s credit arrives, select Mark Refund Complete on Refund Pending.
  4. Keeping a spare instead? Select Move to Inventory and add it to an inventory part, or create one. It goes on the shelf once.
