Print barcode labels and scan parts

Give every part a barcode, print labels on a thermal label printer or Avery sheets, and scan parts in RVDesk with any USB or Bluetooth scanner.

Who can do this
Owners and managers assign barcodes and print labels. Scanning works wherever you already add, receive or count parts.

Where to find it

  • InventoryAssign barcodes

  • InventoryPrint labels

Print labels appears once you tick parts. The printer icon on a part’s row prints that part.

  • Inventory Counts

Every part needs a barcode before it can have a label. Parts you import already get one: RVDesk uses the part’s SKU when it’s unique in your shop and can be printed, and creates a 12-digit code when it isn’t.

  1. In the sidebar, open Inventory.
  2. Select Assign barcodes. Every part without a barcode gets one. Parts that already have a barcode keep it, so labels already on your shelves stay good.

If a part arrives with a barcode printed on its box, you can scan that one rather than printing your own.

  1. On the Inventory page, select the pencil icon on the part’s row.
  2. Click into Barcode, then scan the box or type the code.
  3. Select Save Changes.
  1. On the Inventory page, tick the parts you want. Select Print labels for one label each, or One per unit in stock for a label per unit on hand. For one part, use the printer icon on its row.
  2. Under Label stock, pick 2.25 × 1.25 in, 1.5 × 1 in or 4 × 6 in thermal labels, or Avery 5160 sheet for a regular laser or inkjet printer.
  3. For thermal labels, set Printer resolution to match your printer: most desktop label printers are 203 dpi and some are 300 dpi. It’s on the printer’s model sticker or box.
  4. Under On each label, choose the part name, SKU / part number, bin / location, sell price and shop name. The barcode number always prints under the bars. RVDesk remembers these choices on that computer.
  5. Check the number of labels for each part, then select the Print button.

In the print dialog, set:

  • Printer: your label printer for thermal labels, or your regular printer for Avery sheets.
  • Paper size: the label size, for example 2.25 × 1.25 in. Letter for Avery sheets.
  • Margins: None.
  • Scale: 100% (Default). Any other scale changes the bar widths and the labels may not scan.

Using a sheet of Avery labels you’ve already used part of? Set Start at label to the first empty label, counting across and then down. Print one page on plain paper first and hold it against a label sheet to check the line-up.

Any USB or Bluetooth barcode scanner that works in keyboard mode works with RVDesk, and most scanners do out of the box. There’s nothing to install: the scanner types the code and presses Enter, just like a keyboard.

  1. Click into the box you want to scan into. The scanner types wherever the cursor is.
  2. Scan the label. On the Inventory page, scanning into the search box finds that part. On a work order, scanning into the part search adds one of that part.
  3. On an open purchase order, under Scan to receive, each scan receives one unit. On an Inventory Counts count, each scan counts one unit.
  4. If you scan a barcode RVDesk doesn’t know, it offers to create a new part with that barcode.
