Where to find it

  • Employees

Select a person to change their permissions, role or pay.

Every employee has a role and a set of permissions. The role says who they are, such as Technician; it doesn’t decide what they can do. Permissions do, and they come from one place: a permission group or their own individual permissions. The owner always has every permission.

Send an invitationLink to the section “Send an invitation”

  1. In the sidebar, open Employees and select Add Employee.
  2. Enter their Email and pick an Employee Role, then select Next.
  3. Choose their permissions. RVDesk starts on the sample group for their role, such as Service Advisor (sample). Keep it, pick another Permission Group, or switch to Individual Permission and tick exactly what this person may do.
  4. Select Send invite. If the email can’t be sent, RVDesk shows the invite link instead: select Copy link and send it to them yourself.

They open the email, enter their Full name and a password, and select Create account & sign in. Nobody at the shop ever sees or sets their password. Until then the invite waits under Pending invites, with the permissions it will give them, where you can Resend or Revoke it.

Permission groupsLink to the section “Permission groups”

A group is a named set of permissions shared by everyone in it. Change the group and everyone in it changes at once. Every shop starts with a sample group for each role: Shop Admin (sample), Service Advisor (sample), Technician (sample) and Accountant (sample). They are ordinary groups, so edit them to suit your shop.

  1. Open Employees, then the Permission Groups tab.
  2. Select Create Permission Group, give it a name, tick its permissions and, if you like, add employees to it. Or open a group to change its permissions or the people in it.

A group can’t be deleted while anyone is in it, deactivated employees included. Delete Group asks where to move them first.

Change someone’s permissions, role or payLink to the section “Change someone’s permissions, role or pay”

  1. On Employees, select the person.
  2. Under Permissions, choose a Permission Group, or Individual Permission to give this person their own list. Switching to individual permissions starts from what they have now, so you only tick or untick the differences. Select Save Permissions. If the change takes anything away, RVDesk lists it and asks first.
  3. Under Role & salary, set their Payroll type and Hourly rate. The hourly rate is what the time clock and payroll use, and only the owner or a super manager can change pay. Only the owner can change Role. A new role moves them onto that role’s sample group, or leaves them with no permissions if your shop deleted that group. The form says which before you save.

To change several people at once, tick them in the list and select Edit Permissions.
